The problem

The Challenge

As Arco expanded through acquisitions, it faced the challenge of integrating and centralizing information and content from various legacy platforms. This unification aimed to reduce costs and improve operational efficiency, particularly in the migration process for digital books.

The project’s primary goal was to devise a solution to minimize the operational workload of the internal team, which needed to re-register over 2,700 digital books into the new content management platform.
How We Solved It

The Solution

During the Discovery phase, I identified the main complexities of the migration process. One key challenge was that the client schools’ platforms were not equipped to handle digital books in HTML5 format, making direct migration unfeasible.

Strategic Decision:

We decided to maintain the content on the legacy platform and create links that redirected materials directly to the schools. Simultaneously, we developed solutions to automate the registration of digital books into the content manager.

Implemented Strategies:

  • Automation of Categorization: We designed a table containing consumption links and pre-filled codes to automate the classification of books. This enabled users to simply copy the relevant information (link, code, and title) and paste it into the developed interface.
  • Intuitive Interface: We created an intuitive and accessible interface that transformed the bulk registration process, significantly reducing execution time and minimizing manual errors.

Results Achieved

  • Reduced Operational Workload: Automation covered 80% of the re-registration process, significantly cutting down on human effort.
  • Error Minimization: The solution decreased the likelihood of manual errors by 60%, boosting accuracy and reliability in content categorization.
  • Scalability and Efficiency: The new interface enabled a faster and more scalable workflow, effectively meeting schools' needs with greater efficiency.

Conclusion

The Content Manager project at Arco underscores the importance of combining research, technology, and user-centric design to tackle complex challenges.

The implemented solution not only reduced operational workload but also introduced an interface that improved employee experience while ensuring greater accuracy throughout the workflow.

This project represents a milestone in my journey as a Product Designer, reflecting my commitment to innovation and to creating impactful solutions that optimize processes at scale while positively influencing people's lives.
